2. What personal data we collect and why

2.1 Contact form submissions

When you use the contact form on this website, we collect your name, email address, and the content of your message. We use this information to respond to your enquiry. The legal basis is our legitimate interest in responding to business communications.

2.2 Distributor Enquiry form

When you submit a Distributor Enquiry, we collect your name, company name, email address, telephone number, country, and any details you provide about your business. We use this information to assess and respond to distributor applications. The legal basis is legitimate interest in developing our distribution network, or — where a commercial relationship is being initiated — the performance of a pre-contractual step.

2.3 Newsletter sign-ups

If you choose to subscribe to our newsletter, we collect your email address. We will use it to send you product updates, technical articles, and company news. The legal basis is your consent. You may withdraw consent at any time by clicking the unsubscribe link in any newsletter email or by contacting us directly.

2.4 Server logs and security

Our web server automatically records standard access log information including your IP address, browser type, referring URL, and pages viewed. This data is used solely for security monitoring and is not used for tracking or profiling.

3. Data processors and third parties

We share personal data only with the following processors, who act on our instructions and are bound by appropriate data processing agreements:

  • Brevo (Sendinblue SAS) — our email delivery and newsletter platform, headquartered in France (EU). Brevo processes email addresses submitted via newsletter sign-ups and handles delivery of transactional emails triggered by contact form submissions. Brevo is GDPR-compliant.   • Kinsta Inc. — our managed WordPress hosting provider. Server infrastructure is located within the EU/EEA. See Kinsta’s privacy policy.

We do not sell, rent, or trade personal data with third parties for marketing purposes.

4. Analytics and cookies

This website does not currently use analytics tracking. We intend to implement Google Analytics 4 (GA4) in the future; this will only be activated after a compliant cookie consent mechanism is in place and will be subject to your consent before any data is collected. 5. How long we retain your data

  • Contact and enquiry form data: Retained for up to 3 years from the date of submission, or until the enquiry is resolved and no longer commercially relevant, whichever is sooner.
  • Distributor enquiry data: Retained for up to 5 years from the date of submission in case a commercial relationship is established.
  • Newsletter subscriber data: Retained for as long as you remain subscribed. If you unsubscribe, your email address will be suppressed from our mailing list and removed from active records within 30 days.
  • Server logs: Retained for a maximum of 90 days.

6. International transfers

Vigilis Lda is established in Portugal and processes data within the European Economic Area (EEA). Where data is transferred outside the EEA (for example, by our hosting or email processors), we ensure appropriate safeguards are in place, such as Standard Contractual Clauses approved by the European Commission.
